DiceDaze uses technologies necessary to operate the Service, such as session-related storage required to:
- keep you signed in;
- authenticate requests;
- protect accounts and sessions;
- maintain security;
- retain necessary first-party application state.
These technologies are used to provide and secure the Service rather than for third-party advertising.
5. How We Use Personal Information
We use personal information to:
- create and maintain accounts;
- authenticate users;
- provide DiceDaze features;
- create and administer Games;
- display Game membership and relevant Game information;
- process invitations and join requests;
- save and display in-person and online availability;

- troubleshoot errors;
- send transactional email used to provide requested features, including Game invitations, password-reset messages, availability reminders, and other account or service communications;
- communicate with you about your account or requests;
- comply with legal obligations;
- maintain and improve DiceDaze.
6. Legal Bases for Processing
Where the GDPR, UK GDPR, or similar laws require a legal basis, we generally rely on the following:
Performance of a contract or steps requested by you. We process information as necessary to create your account and provide the DiceDaze features you request.
Legitimate interests. We process information where reasonably necessary for security, fraud prevention, troubleshooting, administration, service improvement, and protection of DiceDaze and its users, provided those interests are not overridden by your rights.
Legal obligation. We may process information where necessary to comply with applicable law, legal process, or enforceable governmental requests.
7. When We Share Information
We do not sell your personal information.
We do not use DiceDaze personal information for third-party targeted advertising.
We may disclose personal information in the following circumstances.
#### Other DiceDaze users
Certain information is shared as part of DiceDaze's collaborative features.
For example, GMs and Players participating in the same Game may be able to see relevant:
- names;
- profile photos;
- Game participation;
- GM or Player status;
- availability responses;
- scheduling information;
- other Game information intended to be shared within that Game.
GMs may see additional information needed to administer a Game.
People using a valid Game invitation or join link may also be shown limited information associated with the invitation, such as the Game name, system, or description.
#### DigitalOcean
We use DigitalOcean to host DiceDaze infrastructure and databases.
DigitalOcean may process information on our behalf as necessary to provide hosting and infrastructure services.
#### Mailgun
We use Mailgun as our transactional email-delivery provider.
To transmit a message, DiceDaze sends Mailgun the recipient email address and the message content and metadata needed for delivery.
Where DiceDaze provides a preference to disable availability-reminder emails, that preference does not disable invitations, password-reset messages, or other transactional email necessary to provide features you request.
#### Legal and safety reasons
We may disclose information when reasonably necessary to:
- comply with applicable law or legal process;
- respond to lawful governmental requests;
- protect the rights, safety, or property of Benfield Creative, our users, or others;
- investigate fraud, abuse, or security threats;
- establish, exercise, or defend legal claims.
#### Business transfers
If Benfield Creative or DiceDaze is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar transaction, information may be transferred as part of that transaction subject to applicable law.
8. International Data Transfers
Benfield Creative is based in the United States, and DiceDaze is operated using infrastructure that may process information in the United States.
If you access DiceDaze from the European Economic Area, United Kingdom, Switzerland, or another jurisdiction with international-transfer restrictions, your information may be transferred to and processed in countries outside your home jurisdiction.
Where legally required, we and our service providers use recognized mechanisms or safeguards for international transfers, such as applicable contractual protections or other lawful transfer mechanisms.
9. Data Retention
We retain personal information for as long as reasonably necessary to:
- provide the Service;
- maintain your account;
- preserve legitimate Game membership and scheduling functionality;
- protect DiceDaze and its users;
- maintain security, abuse-prevention, and audit integrity;
- resolve disputes;
- enforce agreements;
- comply with law.
When you close your account, we will delete or de-identify personal information that is no longer reasonably necessary, subject to limited retention where appropriate for:
- security and abuse prevention;
- transaction or audit integrity;
- backups;
- legal obligations;
- dispute resolution;
- enforcement of agreements.
Information that was shared with other users or incorporated into legitimate historical Game or scheduling records may not always disappear immediately or completely, particularly where retaining de-identified or limited historical information is reasonably necessary to preserve the integrity of other users' records.
Backup copies may persist for a limited period before normal deletion or overwriting.
We do not retain personal information merely because it might someday become useful.
10. Account Closure
You may close your account using the account controls provided by DiceDaze or by contacting:
Certain restrictions may apply if closing your account would leave a Game without an active GM or otherwise prevent DiceDaze from safely completing the requested account operation. Where appropriate, you may need to designate another eligible GM first.
Account closure invalidates active account access and triggers our applicable deletion or de-identification processes.
11. Your Privacy Rights
Depending on where you live, you may have rights concerning your personal information, including the right to:
- request access to your personal information;
- correct inaccurate information;
- request deletion;
- request restriction of certain processing;
- object to certain processing;
- receive certain information in a portable format;
- withdraw consent where processing is based on consent;
- appeal certain decisions concerning a privacy request;
- complain to an applicable data-protection authority.
Applicable privacy laws may provide additional or different rights depending on your location.
Nothing in this Privacy Policy is intended to waive rights that cannot legally be waived.
12. How to Exercise Your Rights
Send privacy requests to:
Please describe the request and identify the DiceDaze account involved.
We may need to verify your identity before fulfilling a request.
We will respond within the timeframe required by applicable law.
If applicable law provides a right to appeal our decision on a privacy request, you may submit an appeal by replying to our response or contacting the same email address and stating that you wish to appeal.
You are not required to pay a fee for ordinary privacy requests unless applicable law permits a fee in exceptional circumstances, such as manifestly unfounded or excessive requests.
13. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information.
These measures include controls related to authentication, authorization, access, data storage, network exposure, and credential handling.
However, no Internet service, storage system, or security control can guarantee absolute security.
You use DiceDaze with that understanding.
14. No Sale or Targeted Advertising
DiceDaze does not currently:
- sell personal information;
- rent personal information to data brokers;
- display third-party advertising;
- use personal information for cross-context behavioral advertising.
If those practices change in the future, we will update this Privacy Policy and provide any notices or controls required by applicable law before implementing them.
15. Children
DiceDaze is not intended for anyone under 18.
We do not knowingly collect personal information from people under 18 through registered accounts.
If you believe a person under 18 has created an account, contact [email protected].
16. Changes to This Privacy Policy
We may update this Privacy Policy as DiceDaze changes or as legal requirements evolve.
When we make changes, we will update the version and effective date.
If a change materially affects how we process personal information, we may provide additional notice or request renewed acknowledgment or consent where required.
